Coordinator, Livestock Show

SUMMARY

Coordinates smooth, efficient and effective promotion of the Livestock Show.

ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following:

  • Support Senior Director, Mission Division with assigned livestock show and contest duties.
  • Assist in managing activities involved in the planning and implementation of all livestock shows, including development, production and timely distribution of entry fulfillment, data entry and show results reporting.
  • Assist in creating judging contest schedule. Answer questions pertaining to livestock show and contest entries.
  • Oversee scheduling of meeting requests related to showtime functions to include show/contest set-ups and specials requests as needed.
  • Manage show credentials associated with contracts and ensure proper billing has taken place for all agreements and awards related to the contests.
  • Develop and maintain relationships with committee chairmen, volunteers, officials, and show staff.
  • Coordinate any necessary production, processes payments, and manage inventory.
  • Complete necessary documentation including contracts, deposits, and correspondence, and make sure contractual deadlines are met.
  • Work with committee chairmen and officers-in-charge in maintenance of membership rosters, scheduling and attending meetings and functions. Including year-around and showtime event scheduling, parking and equipment requests, and needs for the committee operations/social events.
  • Work with committees on fundraiser planning; process paperwork, contracts, and payments from fundraisers.
  • Work with contest superintendents and committees to develop/maintain layouts for contests, schedule, rules, and judges/officials.
  • Attend livestock meetings as directed to keep informed of livestock trends and developments.
  • Responsible for general accounting including budgets, deposits, and accounts receivable.
  • Serve as staff coordinator for three (3) recognized livestock show committees.
  • Serve as front line person for livestock show communications.
  • Work with contractors and show management to resolve problems.
  • Analyze effectiveness of livestock show procedures and recommend improvements to management.
  • Responsible for ordering and purchasing relevant signs for show and committee needs.
  • Assist with ordering livestock show supplies and awards.
  • Other duties and responsibilities as requested, required, or assigned.

EDUCATION and/or EXPERIENCE

Bachelor's degree from four-year college or university; and one to two years related experience and/or training; a minimum of three (3) years customer relations experience or equivalent combination of education and experience preferred. Proven skills in working with diverse audiences required. Knowledge of livestock show preferred.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

OTHER QUALIFICATIONS

Extensive work-related experience in working in a livestock environment and knowledge of livestock terminology. Requires excellent computer skills, customer relations, customer service, organizational skills. Must be project oriented. Computer skills require knowledge of Microsoft office. Must have database application and worksheet application knowledge. Prefer Oracle experience.

SUPERVISORY RESPONSIBILITIES

Directly supervises various numbers of Temporary and/or Seasonal employees. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; addressing complaints and resolving problems.
