Scholarship Program Manager

Department: Ed Fund G&A
Location: Houston, TX

SUMMARY

Educational Programs administers the Show's multimillion dollar educational and scholarship programs. This position reports directly to and is under the supervision of the Senior Manager, Scholarship Programs. The employee in this position should learn, master, and demonstrate complete understanding of the Educational Programs and effectively manage processes and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Primary responsibilities include, but are not limited to:

· Serve as the main contact for Hildebrand Rural Scholars Program scholarship recipients (4-Year and Vocational)

· Field scholar and alumni related telephone and email inquiries and provide appropriate information to inquirer on

a timely basis.

· Assist in the management of the scholarship program databases including, but not limited to, student addresses,

semester hours, semester grades, financial records, and all other necessary records on a consistent and timely basis.

· Prepare and maintain files on scholarship recipients

· Prepare and maintain Educational Program spreadsheets, reports, proposals, and score sheets.

· Prepare and maintain reports related to Hildebrand Rural Scholars Program recipients

· Provide updates and reports to Hildebrand Foundation/Donor contacts on a regular basis

· Manage scholar administrative requests

· Assist in managing the application process for scholarship programs

· Assist in verification of Achievement Scholarship and Hildebrand Rural Scholars Program: Achievement Scholarship applications.

· Assist in judging processes, including reassignment of incomplete judging assignments

· Manage new scholar notification and documentation verification process, including financial aid

· Monitor scholarship recipient compliance with programs

· Assist in the preparation and delivery of training materials regarding scholarship programming

· Assist in development and execution of Hildebrand Rural Scholars programming

· Manage disciplinary action appeals related to Hildebrand Rural Scholars and present to the Scholarship Review Committee

· Assist with all departmental events and Tejas Receptions.

· Compose and prepare written correspondence as necessary.

· Provide reconciliations and records to Accounting as requested

Other duties include:

  • Learn, master, and demonstrate complete understanding of the Educational Programs and initiate ways to streamline and automate processes and procedures.
  • Financial responsibilities of the position include, but are not limited to, specified periodic reconciliation of scholarship source system to general ledger as maintained by accounting department; disbursement of all payments to students and approved educational programming; maintenance of student’s individual accounts, including one-time payments, transfers, refunds and charge offs; receipt, acknowledgement, and posting of all memorial and honorary contributions to Educational Fund.
  • Schedule appointments and arrange travel schedules and reservations as deemed necessary to properly administer educational programs.
  • Assist with background research on grants and scholarships and analysis for Educational Programs Standing Committee. Monitor progress and evaluates scholarship program results.
  • Contribute to a positive teamwork environment.
  • Special Projects as assigned.

EDUCATION and/or EXPERIENCE

Bachelor’s Degree and four or more years related experience and/or training, or equivalent combination of education and experience. Experience with Microsoft Office Products including Excel. Experience with Oracle and Salesforce a plus.

The employee may be required to lift and/or move 15 or more pounds. Extended work hours required, especially during peak periods. The employee may be on feet for up to sixteen hours per day during set-up and the Show.
