Specialist, Sponsorship Fulfillment

Department: Sponsorship Program
Location: Houston, TX

SUMMARY

Responsible for assisting the Sponsorship Department with ensuring the delivery of contractual elements, providing excellent client service, and managing a detail-oriented tracking system for designated sponsor assets. This includes developing plans, program and event management, marketing elements, accounting needs and social media content. They will manage relationships with a variety of internal and external stakeholders.

ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following:

Assist the account managers with dedicated sponsor assets. These efforts, while benefiting the sponsoring company, also help drive and increase annual Show attendance and promote the Show’s Mission.

Responsible for tracking and maintaining budgets, assets, and benefits. Assist Accounting with billing, in-kind documentation and maintaining Netsuite database for Official Show Sponsors and Joint Marketing Advertising purchasers.

Works directly with lead account managers, staff coordinators and committees to provide sponsor and attendees with the best experience at Rodeo Run, Rodeo Roundup, Scholarship Picnic and Downtown Parade.

Provide sales support to the Sponsorship Department by evaluating market and brand research and generating new inventory ideas and concepts through collaboration with internal and external stakeholders.

Maintain communication with internal and external stakeholders to promote a high degree of interest, involvement and enthusiasm for the success of Rodeo sponsors and the Sponsorship Department.

Assist the lead account managers with fulfilling print and digital signage, social media campaigns and media communications.

Develop and execute digital marketing campaigns to promote sponsor activations, leveraging email, social media, and web platforms. Track and report on campaign performance using analytics tools and recommend optimizations based on data insights.

Create compelling content (articles, blog posts, sponsor spotlights, video scripts) that highlights sponsor partnerships and showcases their impact on the Houston Livestock Show and Rodeo audience.

Ensure all sponsor-related marketing materials adhere to both the Show’s and sponsors’ brand guidelines. Coordinate with the marketing team to maintain brand consistency across all channels.

Collaborate with the Marketing Department to design and implement integrated campaigns that align sponsor objectives with Show initiatives, including cross-promotions, contests, and experiential activations.

Support the planning and execution of event marketing initiatives, including on-site branding, sponsor activations, and audience engagement strategies during the Show and related events

Plan and organize Sponsor networking lunches, special events (Sponsor Summit, Appreciation Events, NFR, etc.) and occasions to fulfill contractual obligations.

Coordinate delivery of Sponsor assets with other members of the department.

Manage and facilitate Rodeo Acts of Kindness from initial conversation to stadium execution.

Create and manage the annual shot lists for photos, digital, broadcast, special day videos and other marketing requirements.

Serve as liaison to other departments for sponsor requests and ensure necessary approvals from Leadership.

Provide outstanding client service to sponsors and guests throughout the year.

Collaborate with Sponsorship Fulfillment Manager on finalizing recap materials to provide account managers and sponsors.

Be a team player and contribute to the general success of the Houston Livestock Show and Rodeo across all facets, including helping all team members.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

Bachelor's degree or equivalent in business administration, sports management, communications, marketing or advertising; or at least five years related experience and/or training in sponsorship, advertising sales, event presentation and special event coordination; or equivalent combination of education and experience. Must have a demonstrated and recognized ability to work at the highest levels with advertising and marketing representatives, corporate executives and marketing partners. Must have the ability to build and nurture business relationships, both internally and externally.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, and technical procedures. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

OTHER SKILLS AND ABILITIES

Must have ability to manage tasks at a high level of proficiency and to utilize state of the art information, presentation and processing technology. Requires expert skills in Microsoft applications including Access, Excel, Outlook, PowerPoint and Word. Requires strong accounting and organizational skills, ability to prioritize and manage multiple tasks simultaneously. Requires excellent telephone and written/oral communication skills. Able to plan and execute projects.

The employee may be required to lift and/or move 15 or more pounds. Extended work hours required, especially during peak periods. Some travel required.
