Bookkepper

Department: Accounting Fulltime
Location: Houston, TX

SUMMARY

Performs a wide variety of general accounting functions, including processing day-to-day financial transactions, preparing reports and ensuring the accuracy of financial data, performing analysis on budget to actuals, maintaining records, creating documentation, and assisting on various projects as they occur.

ESSENTIAL DUTIES AND RESPONSIBLITIES include but are not limited to the following:

  • Accounts Payable: Review and submit invoices for processing, ensuring they are accurately coded to the appropriate accounts and cost centers. Ensure proper approval is obtained and resolve any discrepancies before final submission, ensuring timely payments and collections.
  • Accounts Receivable: Collaborate with relevant teams to request new items be added to the item master, ensuring that the correct revenue accounts are being used. Monitor the accurate recording of revenue and expenses against the budget and assist in ensuring proper financial alignment between operational and accounting teams. Provide regular updates and explanations for any significant variances.
  • Assists with Budgeting: Regularly review budget-to-actuals reports to track variances. Work closely with operational account users to explain variances, identify any issues, and provide recommendations for corrective actions.
  • Assists with Financial Close: Work directly with operational coordinators and financial owners to gather necessary financial close documentation. Ensure that all transactions are properly recorded and help prepare any supporting schedules or reports for the financial close process.
  • Provide Financial Support: Act as a point of contact for operational departments regarding financial queries, providing guidance on proper coding, documentation, and reporting. Offer assistance with reconciling discrepancies and suggest process improvements when necessary.
  • Fundraiser Payment Processing & Sales Tax Support: Assist with fundraiser payments, including processing uploads of fundraiser sales through external systems. Support the accurate consolidation of sales tax information related to committee fundraisers to ensure timely and compliant reporting.
  • Other Administrative Duties: Perform general administrative duties as needed, such as filing, data entry, and handling financial inquiries.
  • Timelines: Manage project timelines and complete work within a reasonable time

EDUCATION

· High school diploma or equivalent; Associate's or Bachelor’s degree in Accounting, Finance, or a related field preferred.

EXPERIENCE

· 2-4 years of progressive experience in bookkeeping or in a similar accounting role

· Advanced knowledge of Microsoft Excel is required

· Knowledge in Oracle and/or Netsuite is a plus

OTHER SKILLS AND ABILITIES

Strong attention to detail and analytical/problem solving skills. Strong written and oral communication skills required. · Must demonstrate proven organization and project management skills, including ability to manage multiple concurrent objectives, projects and activities while maintaining proper focus on major strategic initiatives· Ability to cope in a changing environment. Ability to interact with Finance and Non-Finance employees at all levels. Positive, enthusiastic “can do” attitude and work ethic. Serve as a positive influence within the Finance Group. This should be demonstrated through a positive and energetic outlook, an ability to eagerly develop professionally, a willingness to encourage a team environment and a fostering of ideas.

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to analyze facts, arrive at alternative solutions, and provide acceptable recommendations.

The employee may be required to sit, stand, climb, balance, stoop, kneel, crouch or crawl. During the Show, the employee may be required to frequently walk to various places on the grounds. The employee may be required to lift and/or move 15 or more pounds. Requires good manual dexterity (hand, hand with arm, two hands) and multi-limb coordination. Extended work hours required, especially during peak periods. The employee may be on feet for up to twelve hours per day during set-up and the Show.
